Getting Involved

Are you interested in helping out at the convention and as a 'thank you' getting your registration fee refunded? Become a Volunteer Helper! Helpers do the simple-but-necessary tasks which make a convention happen. Whether it's checking badges, helping with setup, or assisting Staff members, being a Helper is a great way to see the convention and meet fellow fans! It's also a good way to see if you have the potential to be a future full-fledged Staff member.

The only requirement to be a Helper is that you are a paid attendee of at least 18 years of age. 

Here is how it works:

First, you'll need to register as a regular attendee. You can pre-register, or register at the con. Once you are at the convention, go to our Volunteer Office. Our friendly staff will get you set up as a Helper. You'll receive a special sticker for your badge and a time sheet to keep track of your hours. Do not lose it.

Third, hang out in the room. As Helpers are needed, you will be sent to various parts of the convention as requested. After your assignment is complete, have the person in charge of the event or room (usually the Coordinator) sign your time sheet. For every four hours you Help out, you get that day's registration fee refunded. Within 30 days after the end of the convention, a refund will be mailed to you.

Volunteering FAQ

  1. I want to volunteer on Friday, January 24th. Can I?

    Yes, but it depends on the workload demands on Friday night AND you have to be pre-registered. In a departure from previous years, we may actually need some volunteers to help with set up and the such. How much help we need actually depends on what staffers need. A safe bet would be to show up on Friday at approximately 7 PM. NOTICE: Volunteers Dept. staffers may not actually be present or set up when you show up, but other departments will be. Be ready to show your filled out forms AND print out of your pre-registration receipt if you are asked to help. Anyone without the appropriate paperwork will not be allowed to help. Make your presence known when you show up or when Volunteers are asked for.
  2. Do I need to pay for a membership before volunteering?

    Yes, there are no exceptions.
  3. How long do I have to volunteer for?

    At least 4 hours per 1 day's worth of reimbursement or 8 hours for a whole weekend membership.
  4. How do I get my hours in?

    Hours are given out on a first come first serve basis. It is your responsibility to stop by Volunteers periodically 5-10 minutes before every hour and half hour to see if anything is available. You can also hang out in the Volunteer Room. Waiting stand by may not get you any hours, but it gives you priority for the next round of Volunteer demands. Some hours will also be given out when the Volunteer Room is closed for those dedicated Volunteers—ask for details.

    You will be given a time card to document your hours. It is your responsibility to have the hours you helped signed off by the Department Head, Second, or staffer you actually helped. Make sure you don't lose your time card and to turn it in when you have completed your hours.
  5. I want to volunteer with X, Y, and Z

    That's fine, but see point 4.
  6. I want to go event A, B, and C

    That's fine, your hours need not be consecutive.
  7. I want to volunteer at event A, B, and C

    See point 4.
  8. Now that I've completed my hours, when will I receive my reimbursement?

    Make sure you turn in your time sheet and verify your mailing address. You'll receive your reimbursement in the mail approximately one month after AOD. The reimbursement process is not handled by the Volunteers Dept. at this point as we do not handle any money at all. However, if you do not receive any reimbursement by the second month, please contact BOTH the Volunteer Dept. and AOD in general on the "Contact Us" form.
